Position Overview:
As FAWOI expands its reach and impact, we are seeking a highly motivated and organized individual to join our team as an Administrative Assistant. The ideal candidate will play a pivotal role in supporting the organization’s day-to-day operations, ensuring efficiency and contributing to the achievement of our mission.
Key Responsibilities:
1. Office Management and Documentation
• Maintain accurate and up-to-date records and filing systems.
• Organize and maintain a well-functioning and orderly office space.
• Maintain and update the asset and inventory system both physical and electronic.
• Assist in the creation, editing, and formatting of documents, reports, and presentations.
2. Event Coordination
• Support planning/execution of seminars, workshops, safe space intervention and events.
• Coordinate logistics, including venue booking, travel arrangements, and material preparation.
3. Communication
• Draft and disseminate internal and external communications
• Act as a liaison between staff members and management, effective communication.
• Manage incoming calls, emails, and inquiries and provide timely and courteous responses.
4. Programs and Administrative Support
• Assist in the coordination of virtual and on-site training programs.
• Provide administrative support for various organizational programs.
• Assist in general administrative tasks, including data entry, scheduling, and inventory management, financial and narrative reports.
Qualifications:
• Bachelor’s degree in Business Administration, Management, or a related field.
• Fluent in English and Pidgin. Knowledge of French is an added advantage.
• Proven experience as an administrative assistant or in a similar role.
• Proficient in Microsoft Office Suite and other relevant software.
• Excellent written and verbal communication skills.
• Strong organizational and multitasking skills.
